Keep the to-dos, the lists and the messages with the records they belong to.
Tasks are team to-dos with a due date, an assignee and a link to a candidate or client. Shortlists keep the people you are lining up for a job in one named list. Message templates fill in names and positions, then open in your own email, copy, print or save as a note. Tempbench sends nothing itself.

Tasks: what needs doing, and by whom.
The jobs that get forgotten on a busy desk: chase a CPC card photo, book an induction, check a reference before Monday.
- A title and a due date
- Add notes if you need them. Leave the date off for something that can wait.
- Assigned to someone
- Anyone active on your team, or nobody yet. Just mine shows only your own.
- Linked to a record
- Tie a task to a candidate or a client, and their name shows on the task with a link straight to the record.
- Today, Upcoming, Overdue, Done
- Overdue tasks say how many days late they are. The home screen lists what is due today and overdue, and you can tick them off there, with undo.
Shortlists: the people you are lining up.
On the candidate list, tick the people you want, choose Add to shortlist, and pick a list or name a new one, such as Night shift, Avonmouth.
Shortlists sit beside the planner, the list, the map and the ring round. Each one shows everyone on it with their position, postcode, status and this week's availability strip, so you can see at a glance who is still free.
Shortlists are shared across the account, so the whole desk works from the same names. Remove people as they drop out, rename the list as the job changes, and export it as CSV when you need it elsewhere. The person who made a shortlist, or an admin, can delete it.
Message templates: write it once.
Emails, letters and short texts or notes, each marked for candidates, clients or anyone. New accounts start with a set to edit, including a shift offer, a booking confirmation, a registration welcome, a documents needed email and a client introduction.

How a template is used.
Pick the person
Press Use on a template and choose a candidate or client, or press Use a template on their record. For a client, pick which contact it is for.
Check what filled in
Merge fields such as first name, position, town, client name, agency name, your name and today's date fill in. Anything with no value is flagged, and a Do not use candidate shows a warning.
Edit before it goes
Change the wording for this one person without changing the template.
Send it your way
Open in my email starts a message in your own email app. Copy text, print a letter, or add a text or note to their notes. Each use is logged on the record.
Questions.
Does Tempbench send emails or texts from a template?
No. Nothing is sent from Tempbench. An email template opens in your own email app with the To line, subject and message filled in, so replies come back to your inbox. A text or note template is copied for you to paste into your phone, or saved to the record's notes.
Can I give a task to someone else on the team?
Yes. Assign a task to anyone active on your team, or leave it unassigned. Everyone sees the same task list, and Just mine filters it to the tasks assigned to you. The person who added it, the person it is assigned to or an admin can delete it.
Can I export a shortlist?
Yes. Open a shortlist and choose Export CSV to download everyone on it, or tick a few people and export just those. The file opens in Excel, Google Sheets or Numbers. Shortlists are shared across your account, so anyone on the team can open the same list.
